Project Overview
Coaching institutes preparing students for competitive exams like NEET and JEE (Main/Advanced) often manage a wide range of operations — student enrollment, fee collection, attendance tracking, study material distribution, and test series management — across disconnected spreadsheets, registers, and manual processes. This fragmentation makes it difficult for administrators to get a real-time, unified view of institute operations.
Neologicx developed a comprehensive Admin Management System for Synthesis, a NEET/JEE coaching institute based in Bikaner, Rajasthan — bringing student management, academics, fees, attendance, and reporting into a single centralized dashboard.
The Challenge
Running a competitive-exam coaching institute involves coordinating multiple interdependent functions: enrolling and tracking students across sessions, collecting and monitoring fees, recording daily attendance, distributing study material, managing test series and results, and generating reports for institute leadership.
Without a unified system, these functions typically exist in silos — fee records maintained separately from attendance, study material shared through ad hoc channels, and test performance tracked manually. This makes it difficult for administrators to get a consolidated, real-time picture of student progress and institute operations, and increases the risk of errors, delays, and inconsistent record-keeping — especially across multiple academic sessions (e.g., 2026–2027) run in parallel.
The challenge was to build a single administrative platform that could bring all of these functions together, while remaining simple enough for non-technical staff to operate.
The Solution
Neologicx developed a centralized web-based Admin Dashboard for Synthesis, structured around the core operational needs of a coaching institute:
1. User & Master Management
Administrators can manage user roles and access, along with master data (such as courses, batches, and subjects) that forms the foundation of the system.
2. Session Management
The platform supports management across multiple academic sessions (e.g., 2026–2027), allowing the institute to organize students, fees, and academic data by session.
3. Student Management
A dedicated module for managing student records — enrollment, batch assignment, and academic details — in one place.
4. Fees Management
Enables tracking and management of student fee payments, reducing dependency on manual fee registers.
5. Attendance Management
Allows staff to record and monitor student attendance systematically, replacing manual attendance registers.
6. Study Material Content
A structured module for organizing and distributing study material to students, centralizing what was previously shared through informal channels.
7. Test Series Management
Supports the creation and management of test series, helping the institute track student performance on mock tests and assessments.
8. Reports
Consolidated reporting across student, fee, attendance, and academic data — giving institute leadership visibility without manually compiling data from multiple sources.

Results & Outcome
The Admin Management System gave Synthesis a single, centralized platform to manage day-to-day institute operations — replacing fragmented manual processes across student records, fees, attendance, and academics with a unified digital workflow.
By consolidating student management, fees, attendance, study material, and test series under one system, the institute gained better visibility and control over operations across academic sessions, reducing administrative overhead for staff.
